NEW CLIENTS

We offer a FREE Meet & Greet initial assessment service for new clients, to get to know you and your dog’s needs and preferences (including any allergies or intolerances) and match them with the correct session, as well as for you to get to know the person you will be trusting with the care of your dog(s).

Once we receive details of your appointment we will email you a new client questionnaire, please complete and return this prior to our visit. This will be kept on file for as long as you remain a client, therefore please let us know if anything changes.

Please note, all of our staff are professionally trained, CRB/DBS checked, canine First Aid trained and Insured.

Booking & Payment

Booking & Payment is through our Online Booking System.

Once you have chosen the service you require, please use the online calendar and booking system to check availability, book and securely pay (meet & greet visits are free).

If you have a regular booking then it will automatically be added to the calendar. Payment is required in advance, at the beginning of the week (please pay on Sunday for Monday visits), for all services. If payment is not received 24hrs in advance then, unless you contact us to ask for alternative payment terms, your visit will be cancelled (Please also see cancellation policy below).

SERVICES

For VIP sessions your dog(s) will have exclusive use of the field during that time.

Group sessions will have no more than 6 carefully matched dogs, and no more than 3 dogs from a single household. Clients must disclose any known dog or person aggression / reactivity / fear issues. We reserve the right muzzle a dog if particularly “mouthy” with, or fearful of, other dogs at the start of or during a session. If the behaviour continues in future visits then we reserve the right to offer only VIP visits or training sessions in the future.

Online bookings are limited to no more than 6 dogs per session. If you have more than this, please contact us. We require an extra staff member on site (and may require an extra vehicle) to accommodate larger numbers of dogs, therefore these bookings need to be made by telephone at least 48hrs in advance.

COLLECTION & DROP OFF

We want every dog to have a great time with us at the Oakmarsh Dog Activity Field.

We provide a Door To Door service. Depending on your location this will be between 5 minutes and 15 minutes before your allocated field booking time. Only once we arrive at the Activity Field does the clock start for a full 60minutes of fun!

Each booking slot is 90 minutes, allowing time for collection and drop off. For group sessions we will be collecting multiple dogs from different addresses, so please bear with us if your collection time is slightly early or your drop off time is slightly late, to allow for any delays.

Dogs are taken to and from your home to our vehicle on a lead. They are transported in our fully kitted out, insulated van(s), in secure dog crates, with soft mats for comfort and fresh water available. We also provide cool mats and fans for hot days and fluffy warm vet bed for cold or wet days. They are not let out of the vehicle until they are safely within the enclosed field and the gate is closed.

We endeavour to hose down and dry muddy pups before bringing them home, but they may still be a little sandy or wet. In inclement weather, if you wish, we can pop a coat* on them for their session, in hot weather we can pop a cool coat on them, if they get wet we can pop on a drying coat* for their return home. We can leave them in a certain room / area / or in a crate on our return. *Please note it is the owners responsibility to provide all coats.

Keys

You can leave a set of keys with us, advise us of the location of a key (such as a combination lock box), at your own risk, or you may be home when we arrive. We endeavour to keep all keys left with us either on our person or in a safe place. If a key is lost, our liability is purely for the cost of a replacement key being cut and not for new master keys or locks.

ACTIVITY Field

Our Dog Activity Field is fenced with 6’ high (1800mm) professional dog run panels, (the gateways are fenced with Heras fence panels), the extended play area is fenced with 6’ high Weldmesh. The rest of the 3 acres, which we use mainly for the Sniffari, plus advanced gundog training, is fenced with 3’ high sheep fencing. This is NOT dug into the ground. We check the fence for holes or damage regularly.

We will ONLY ACCEPT dogs that are not known to be escape artists and reserve the right to refuse future bookings if the dog(s) are constantly trying to escape.

Dogs are supervised at ALL TIMES to the best of our ability, and therefore we will not be held responsible or liable for dogs that escape from the field. Please ensure your dog is micro-chipped and wearing a collar and tag.

We respect our neighbours and therefore try to keep the noise that your dog(s) make to a reasonable level. If your dog is excessively noisy to a level that we find unreasonable we reserve the right to bring your dog(s) home early and amend or refuse further bookings.

Photography / Videography

We may take photos / videos of your pet(s) whilst carrying out our services. We can send these to you via Facebook Messenger or Whats App. The copyright of these photos belongs to us and we reserve the right to use these on our social media platforms, website and advertising literature. Please advise us if you would like to withhold your pets name from social media posts.

Treats

We use a variety of treats during our sessions, whilst training, in the enrichment area, on our Sniffari, etc. Please let us know if your dog is prone to food guarding, or has any known allergies or intolerances, on your new client questionnaire, or subsequently if any become known.

CCTV / Recording Devices

You must inform us of any CCTV or recording devices present in the property our staff will enter, in accordance with the law. Failure to do so will result in services being withdrawn immediately with no fees refunded.

Insurance

For your peace of mind, we hold valid Public Liability Insurance and specialist Dog Walker & Trainer, Pet Taxi, Dog Field & Pet Sitter Insurance.

It is the clients responsibility to take out Accident, Illness & Third Party insurance for their own pets, and property and contents insurance for their residence.

If any person or animal in our care is bitten, or exposed to any disease or ailment received from the clients pet(s), then it is the clients responsibility to pay for any costs or damages that may be incurred as a result.

Under no circumstances will we care for any pet that has any suspected active contagious or zoonotic disease.

Pet emergencies

In the event of an emergency your emergency contact will be contacted.

In the event that we cannot contact you, or your emergency contact, we reserve the right to contact your vet immediately, and make an appointment with either them, or the nearest out of hours service available.

You, the owner, are responsible for all costs incurred during their care with the Veterinarian.

You agree for us to carry out emergency first aid as required, as per training received, where deemed necessary, and to the best of our knowledge, to ensure the best possible outcome is achieved. In this event we require you to make an appointment with your Veterinarian at the first opportunity.

Disclaimer

We pick up all the dog faeces in the field to avoid cross contamination. When we are closed our field is grazed by sheep & goats to keep the grass down naturally. For the safety of our animals and other clients we ask that your dog is wormed (or worm count checked) regularly and that you advise us if your dogs has / had any parasite (flea / worm / etc) infestations or other illness before booking.

We do not insist on, but we do recommend, vaccinations. We check vaccination records / titre test results at the meet & greet. Unvaccinated dogs visit at their own risk. We pick up all dog faeces, therefore the risk of infectious diseases is likely to be lower than going for a normal dog walk. There are always risks from natural hazards such as ticks and grass seeds, rabbit holes and mole hills.

Although we redirect dogs to dig in the sandpit, there are also rabbits that visit the field overnight, and moles that tunnel underground. Your dog(s) are visiting a natural, un-manicured meadow / marsh / woodland, which gives them a more enriched experience but also has natural hazards. We endeavour to fill all holes / minimise any hazards, but do not accept liability for any accident, injury or misadventure, however so incurred, during your dogs visit.

Rescheduling, Refunds & Cancellations

We do not offer refunds for cancellations if we are unable to access the property to collect your dog(s) at the scheduled collection time, or if your dog is acting aggressively and will not allow us to enter the property.

Payment is required in advance, at the beginning of the week (please pay on Sunday for Monday visits), for all services. If payment is not received 24hrs in advance then, unless you contact us to ask for alternative payment terms, your visit will be cancelled.

You may reschedule your booking up to 24 hours before the start time, after this time no refund is payable.

Cancellations must be made 48hrs before the start time, to receive a full refund, cancellations 24hrs before the start time are eligible for a 50% refund, after this time no refund is payable.

Our right to amend or cancel the service

We reserve the right to cancel the session, bring your dog(s) home early or prevent any further bookings in the following circumstances;

  1. Unexpected aggressive behaviour from your pet(s).
  2. Failure to pay for the session 24hrs in advance, or on the agreed date if credit is given.

We may cancel any Group visits and only offer VIP visits, Sniffari walks or home drop ins, under the following circumstances;

  1. Aggressive behaviour to other dogs.
  2. Continual humping / harassment of other dogs.
  3. Bitches in season.
  4. Excessive timidity within a group.

We may cancel any Group visits and only offer Sniffari walks or home drop ins, under the following circumstances;

  1. Continued attempts to jump / climb or burrow under the fence.
  2. Excessive noise whilst at the Dog Activity Field.
  3. Excessive damage to property within the Dog Activity Field.

We reserve the right to alter, reduce or cancel or sessions without prior notice, in the best interests of your pet(s), in the following circumstances;

  1. Extreme weather conditions
  2. Illness or injury
  3. Unforeseen road closures
  4. Vehicle breakdown

You will entrust us to use our professional judgement when caring for your pets(s). We will act in the best interest of your pet(s) at all times.
